Problem/Motivation/Idea

The Event Organizers Working Group (EOWG) exists and has some overlap in goals with the Contribution Events Initiative (CEI). We want to be able to effecting work together and not duplicate effort.

Proposed resolution

Collaborate to figure out the best approach to work together.

Remaining tasks

  1. Talk with @leslieg about EOWG priorities and where CEI could fill gaps
  2. Figure out if it makes sense for CEI to be a subgroup of EOWG
  3. Figure out if Kristen should be an advisor or on the board of EOWG (whether or not CEI is a subgroup)
  4. Write up differences between goals/focus between two groups

Met today with @leslieg and narrowed down goals for CEI to be complementary with EOWG:

Figure out if it makes sense for CEI to be a subgroup of EOWG

What would that mean exactly? Seems like the ideal would be to share resources without one group owning or being responsible for sustaining the other.

Figure out if Kristen should be an advisor or on the board of EOWG (whether or not CEI is a subgroup)

Not sure that would be necessary just as long as there is somebody who is a member of both teams and available to attend all the meetings and keep all the organizers informed.

Write up differences between goals/focus between two groups

Looking over the EOWG charter and initiaves it seems like total overlap and complement to the point where there could be many shared roles, responsibilities, and contributor opportunities. Wondering if it would be possible to list CEI as a subgroup while keeping the governance and sustainability separate.

Not sure :)

Seems like the ideal would be to share resources without one group owning or being responsible for sustaining the other.

That would be my current preference.

I think that would be great, for me at least. I like the momentum of this initiative and am concerned that if it's in a more formal structure then things will lose momentum.

So... if we can keep a loose coupling between the groups where we are trying to avoid duplication of effort and keep in regular communication, that would be ideal for me.

From today's slack meeting:

  1. For now, EOWG and CEI will be separate but will communicate regularly and collaborate on complementary areas.
  2. CEI will be focused on documentation, marketing, Open Social, and Open Collective.
  3. For documentation, we need to be careful on duplication.
  4. For marketing, we will focus on collecting info/methods and share these.
  5. EOWG won't be focused on Open Social.
  6. EOWG won't be focused on Open Collective.
  7. For funding, CEI can provide EOWG with a list of resources as we document these.

Following up here as we're in the process of launching a nonprofit (via Open Collective Foundation) to sustain "Drupal Contribution" - a community initiative focusing on creating educational resources, training, and events for engaging in open source contribution.

As noted in #3279806: Determine goals for the Contribution Events community project - while it makes total sense to create a 'project' on the Drupal Contribution collective to sustain 'Contribution Events'... IF we decide to sync this initiative up with the collective, we may want to revisit joining forces with EOWG on the event organizing part since that's what they do!

Does that kinda make sense?

Following up on #3279806-14: Determine goals for the Contribution Events community project, it seems like the primary focus of the initiative so far fits in nicely with the Event planning contribution area which references a well-defined event organizer initiative with a #event-organizers channel of over 400 members.

To me it makes total sense to merge. Would be great to hear from the current Contribution Event leads and other folks involved or familiar with EOWG.

I'm still happy to have this initiative under the umbrella of the EOWG, especially as it seems you've already made moves toward taking care of your funding goals with Open Collective and you're otherwise self-sufficient with meetings, etc.

We have https://www.drupal.org/community/event-organizers and https://www.drupal.org/project/event_organizers already spun up and we could add folks as maintainers to both.

With regard to:

if it's in a more formal structure then things will lose momentum

our structure is pretty informal. You'd be invited to give status updates at monthly meetings, but otherwise I have no interest in micromanaging your processes.

Let me know if there's interest in moving forward and I'm happy to facilitate in whatever way works for you all.

Considering its on the agenda, I think there's an opportunity for some synchronous discussion if a few of the Contribution Events maintainers were able to participate in #3319199: EOWG Open Slack Meeting - November 8, 2022.

Either way, it seems like there's a good bit of overlap in goals, maintainers, and overall scope. Especially when you consider discussions and collaboration around the larger Drupal Contribution initiative/collective #3294434: Set up Drupal Contribution collective with Open Collective Foundation are taking place in a different channel. #3099877: SustainDrupal program.
