Rachel Lawson [17:06]
:one: *Meeting Schedule*: I’m thinking regular meetings at this time every TWO weeks. Does that work for you? Could an extra one next week help us get off to a flying start?
amyjune hineline (volkswagenchick she/her) [20 hours ago]
Works for me. The time is perfect, before my workday starts
Rachel Lawson [20 hours ago]
I’m totally up for meetings at other times, too, if that attracts contribution from people for whom this is a bad time. Please let me know
mradcliffe [20 hours ago]
I may not make every meeting, but I'll try.
Jennifer Hodgdon [19 hours ago]
ditto what @mradcliffe said
Rachel Lawson [19 hours ago]
Sounds good to me!
Jennifer Hodgdon [19 hours ago]
Maybe postpone idea of another meeting next week until we see how this one goes? If there is something left hanging that needs more discussion sooner?
Rachel Lawson [19 hours ago]
okay - we can look at that post-meeting
Rachel Lawson [17:10]
:two: *Project Management*
:two: . :one: *Issues and progress*: Issues will be raised, alongside this one, in the Drupal.org/project/drupal_org_community project. We need to have a chat with ContribKanban and get a kanban board setup - any volunteers to arrange that?
Rachel Lawson [19 hours ago]
essentially, it just needs a board that looks at one component on the project
Jennifer Hodgdon [19 hours ago]
I am not familiar with kanban. What benefits does it bring to the project?
mradcliffe [19 hours ago]
I think Matt Glaman still runs this, right?
Rachel Lawson [19 hours ago]
yes, I believe he does
amyjune hineline (volkswagenchick she/her) [19 hours ago]
Would a specific tag accomplish the same thing?
amyjune hineline (volkswagenchick she/her) [19 hours ago]
It’s Matt Glaman
Rachel Lawson [19 hours ago]
A tag could have a benefit in the it would mean only “project” items are on the board - I like that.
Rachel Lawson [19 hours ago]
A kanban board is what you see in Trello, @jhodgdon (she/her) - means we can review progress in meetings etc
Jennifer Hodgdon [19 hours ago]
ok I don't use Trello either. :) I'll figure it out.
Rachel Lawson [19 hours ago]
to be honest, you can also just see the issue list! It’s no more than another view
Jennifer Hodgdon [19 hours ago]
ok so the decision is to add a new tag for this Getting Involved project to the existing kanban for the Community area?
Rachel Lawson [19 hours ago]
hmm - tags are cross-project, aren’t they? Do we end up with tag litter?
Carolyn Shannon (she/her) [19 hours ago]
I'm happy to help w this
mradcliffe [19 hours ago]
Thank you, @Carolyn Shannon!
mradcliffe [19 hours ago]
^ @rachel_norfolk
Rachel Lawson [19 hours ago]
that’s fab, @Carolyn Shannon - can we discuss tomorrow?
Carolyn Shannon (she/her) [19 hours ago]
@rachel_norfolk sure thingtwo: . :two: *Scope*: Please list below the things you believe ARE IN SCOPE (and we can emoji vote on them)
Rachel Lawson [19 hours ago]
Rebuild the Guide on the new documentation sections
+5
Rachel Lawson [19 hours ago]
Add maintainers to each section, _and display the maintainers_
Jennifer Hodgdon [19 hours ago]
(I think displaying maintainers comes automatically when you have maintainers)
+1
mradcliffe [19 hours ago]
Persona-relevant contribution tasks
+6
Jennifer Hodgdon [19 hours ago]
Make sure links exist from Community landing page to relevant sections of new Getting Involved Guide
+5 ?1
mradcliffe [19 hours ago]
:checkbox-yes: :checkbox-no: :checkbox-maybe:
Rachel Lawson [19 hours ago]
thanks @mradcliffe
Jennifer Hodgdon [19 hours ago]
Make sure links exist from Getting Involved Guide back to Community Landing page with text something like "If you're not sure how you want to contribute, see the Community page to figure out blah blah blah"
+4
Jennifer Hodgdon [19 hours ago]
(I need to turn on visible emojis. I see them as text currently, had turned them off because of rampant animations that I can't abide)
+2
Rachel Lawson [19 hours ago]
Include a “clear language guide” to ensure that the language we use in the new guide is clear and readable across our hugely diverse audience
+5 ?1
Jennifer Hodgdon [19 hours ago]
Create templates for different types of pages in Getting Involved (landing pages for interest areas, individual tasks, and background information?)
+7
Marc Drummond [19 hours ago]
Heyo, dropping by, as Rachel mentioned this meeting was going on. I wanted to suggest that it would be really great to get some information in the Getting Involved Guide about following our code of conduct. And making sure to follow inclusive practices like not using using “guys” as a generic term, since it leaves a lot of people feeling left out. We’ve had some serious problems in the Support channel recently from people actively resisting being inclusive. And getting good guidelines in the Getting Involved Guide might not solve everything, but maybe it would help set good expectations from the outset on expected behavior.
+7
Jennifer Hodgdon [19 hours ago]
Create landing pages for various areas for contributing your time, such as Documentation, Coding, etc.
+5
Jennifer Hodgdon [19 hours ago]
Reformat/rewrite/organize existing Getting Involved pages into the new organization and format.
+3
Jennifer Hodgdon [19 hours ago]
Define how the Getting Involved Guide should be organized (top 2 or so levels of outline).
+3
Rachel Lawson [19 hours ago]
Agree the personas and tasks we want the guide to help before we start work. Do everything against the personas rather than “what already exists”
+3
Rachel Lawson [17:23]
:two: . :three: *Scope*: Please list below the things you believe ARE *NOT* IN SCOPE
Rachel Lawson [19 hours ago]
We should NOT simply copy things across just because they existed before. We need to justify each part of the guide against the personas we are trying to meet.
+5
mradcliffe [19 hours ago]
Initiative, work group, core maintainer process documentation that may be unclear as to how to integrate
mradcliffe [19 hours ago]
Or maybe complex documentation that may be unclear how to best integrate at this time
+2
Rachel Lawson [19 hours ago]
good point - adding a scope item to build exactly what personas we must work against
+1
Carolyn Shannon (she/her) [19 hours ago]
Tagging, rerouting folks from other sections, g.d.o., etc. This should be done to send folks to one place to get started, but maybe after things are cleaned up and the path is clearer.
+1
mradcliffe [19 hours ago]
Novice contribution task lists/cards/sticker updates for DrupalCon Amsterdam
+3
Rachel Lawson [17:32]
:three: *Priorities*: From the Scope above, what should we expect to deliver by end of August? What should be out “next steps”?
Rachel Lawson [19 hours ago]
I know I intend to setup a series of issues in the project, based upon this meeting.
+1
Rachel Lawson [19 hours ago]
I believe @hestenet (he/him) has kindly offered to produce a book outline of the current guide, too
Jennifer Hodgdon [19 hours ago]
We have already done a content audit of the Current Guide down to 2 levels. Link to the Google Doc is in the main issue.
+1
Jennifer Hodgdon [19 hours ago]
First step: move the parent issue to the Community project
+2
Jennifer Hodgdon [19 hours ago]
that will take about 2 seconds
Jennifer Hodgdon [19 hours ago]
Next step: Make a proposed outline based on personas (edited)
+2
Rachel Lawson [19 hours ago]
yes!
Rachel Lawson [19 hours ago]
love that quick edit
mradcliffe [19 hours ago]
Mentors would like to print out novice contribution task card/sheets that are up-to-date for DrupalCon Amsterdam, but may be a working document. These usually link to contribution pages on d.o.
Jennifer Hodgdon [19 hours ago]
I'll actually go move that issue right now so it's done.
Jennifer Hodgdon [19 hours ago]
Can the mentors print out based on the tasks we have on there now, and/or edit those as needed? I think moving to tasks is premature right now for this project.
+1
mradcliffe [19 hours ago]
Yes, I wanted to get some work-in-progress done, but yes, linking to the old pages would be fine.
Jennifer Hodgdon [19 hours ago]
Ah, the issue is already moved. :)
Jennifer Hodgdon [19 hours ago]
https://www.drupal.org/project/drupal_org_community/issues/1414988
Rachel Lawson [19 hours ago]
Would be good to bear in mind those links may change when ordering printing…
+1
Carolyn Shannon (she/her) [19 hours ago]
yes
Jennifer Hodgdon [19 hours ago]
But when we move stuff on d.o, we generally try to put in redirects, so it should be OK
Rachel Lawson [19 hours ago]
true
mradcliffe [19 hours ago]
Having a few more stickers for personas that we have not addressed in the past would be nice.
Jennifer Hodgdon [19 hours ago]
Can we keep this thread on scope?
+1
mradcliffe [19 hours ago]
So I think that it would be nice to have a better idea of personas for this project which will help immediately.
Jennifer Hodgdon [19 hours ago]
Proposal: by the end of August, have an outline defined (based on personas), plus templates for the things we need, plus one section created with a landing page and a few tasks (to test the templates).
+3
Jennifer Hodgdon [19 hours ago]
Maybe define the personas (draft) by the next meeting?
+4
mradcliffe [19 hours ago]
That sounds like a great idea for an agenda.
+3
Jennifer Hodgdon [19 hours ago]
We will need someone to volunteer do that draft of personas by the next meeting. There is a start in the Google Doc sheet linked in that issue summary.
mradcliffe [19 hours ago]
I commit to doing this.
+2
Tim Lehnen [12 hours ago]
Per content audit above - sounds like we have what we need - but just in case it is somehow useful (I can’t imagine how) - I’ve just remembered that using the ‘printer friendly view’ link on the main page of a book outline gets you the whole shebang in one giant html stream: https://www.drupal.org/book/export/html/281873
+2
:four: *working with core mentoring*: The work we do here is fundamentally linked to and in support of work by the Core Mentoring team. What can we do now, soon and continually through the project to ensure that we are totally coordinated?
Carolyn Shannon (she/her) [19 hours ago]
To-dos lists, writing guide and templates I think provide the best "toolkit" for those getting started
Jennifer Hodgdon [19 hours ago]
Make sure that when we move/remove pages from the old Guide, redirects are put in place
Carolyn Shannon (she/her) [19 hours ago]
That would be fantastic
mradcliffe [19 hours ago]
The first-time workshop improvement initiative that @amyjune (volkswagenchick she/her) is actively working on is related.
Jennifer Hodgdon [19 hours ago]
Are we talking about making pages for mentors to use in mentoring new contributors, or making it possible for people to help with this particular project?
Rachel Lawson [19 hours ago]
I’m thinking how the eventual content of the guide compliments and supports the work of mentors (edited)
Carolyn Shannon (she/her) [19 hours ago]
Yes, me too
mradcliffe [19 hours ago]
And I think vice versa.
Jennifer Hodgdon [19 hours ago]
OK, so ... this thread is about how we coordinate with mentoring... Anything concrete besides making sure we do redirects?
Tara King [19 hours ago]
Has this project been discussed at a core mentoring meeting? It seems worth coordinating that way
Rachel Lawson [19 hours ago]
We probably need to make sure we listen in on each other’s meetings!
Jennifer Hodgdon [19 hours ago]
The project has been discussed at a core mentoring meeting, yes.
mradcliffe [19 hours ago]
I think I mentioned it when talking about upcoming tasks for DrupalCon.
Rachel Lawson [19 hours ago]
Anything ongoing we can arrange? Always having a slot in each others agenda?
mradcliffe [19 hours ago]
May I add "working with ______"? to this thread as well?
mradcliffe [19 hours ago]
We should also make sure other community and core initiatives are aware such as drupal d&i contrib. team and core initiatives to see how improvements or changes to docs will help or need help.
Rachel Lawson [17:48]
That’s all for now!
The discussions continue in the threads! Please feel free to chime in within the next 18 hours to be captured in the meeting notes. Thank you very much to everyone for attending, learning, and contributing!
I will be riding home now :racing_motorcycle: so please keep discussing and I’ll copy this out into the meeting issue when I wake tomorrow!
Thank you so much everyone - we have made an AWESOME start! Don’t forget to add a comment to the issue mentioned at the start of the meeting!
