:ddi: Hello, welcome to this week’s Drupal Diversity & Inclusion meeting!

This meeting:
➤ happens every Thursday at 12PM EST
➤ is chat only (no audio or video)
➤ happens in threads so keep an eye on those notifications
➤ there are 5 minutes between topics, sometimes more, for people who are multitasking to follow along.
➤ the agenda is public and anyone can add to it:

➤ :star: The transcript of this meeting will be exported and posted to the agenda issue. For anonymous comments, start with a :bust_in_silhouette: emoji. To take a comment or thread off the record, start with a :no_entry_sign: emoji. :bust-in-silouhette: :no-entry-sign

➤ We are always working to make DDI channels a better place to work and communicate. If you haven’t already, please read our Guidelines:

:zero: If you’re joining us today, please introduce yourself. If you’d like, share something fun you’re doing this summer—a trip, something outdoors, something indoors, something involving doors. Your choice.

mdrummond I ate yogurt on my porch this morning, and it was so sunny and nice.

In a few weeks we’re going to a BBQ and Balloon fest in Wisconsin, and I’m going to try another 5K! I don’t expect to be fast, but after walking 8-12 miles a day in France I know I can finish!

drnikki in August, I’m taking an actual true real week off from school and my RA and my job and will spend the week on the beach with my pup.
sugaroverflow Fatima, in London :flag-ca: I’m going to finally see the Great Lakes this summer!

P.S: I’m lurking today, need the downtime.

dmkelner Dori in Virginia. Not myself today so may be a bit quiet.
catapipper Aeryn in North Carolina. Haven’t been able to attend in a very long time but happy to be here today.
Enjoying to cooler weather today and hoping it doesn’t hit 100 again soon.
mdrummond Sorry to hear that, @dmkelner. Hope things get better.
amyjune AmyJune in California. We are seeing some Grateful Dead shows throughout the summer, seem fun!
alannaburke Alanna in PA. I am playing with baby guinea pigs!
sparklingrobots Tara, newly in Albuquerque, NM (!!) and planning a writing retreat for myself next weekend.
unitoch Paul, also in Albuquerque. I'm hoping to make a road trip somewhere in New Mexico this summer to get myself acquainted with my new home state.
rubyji Ruby in Durham, NC. (Hi, @catapipper!) I’m looking forward to two great trips with my kid this summer. One with family on the outer banks, and one with other family in London!

Can’t get over how lucky I am sometimes.

ekl1773 Elli in DC area. Summer is looking like a lot of work time, fun is in September. Enjoying moments in my yard gardening and hammocking!
gaborhojtsy Gábor in Hungary. Its already middle of summer but I have no summer plans
ashrafabed Ashraf in Virginia. Work's been overwhelming lately - going to head to the beach w/the family for a day or two next week
alexdmccabe Alex, in Orlando, FL, US. Probably largely staying indoors because of the heat, but hopefully getting to the water parks a bit, too.

0️⃣ DDI Contrib team sprint day
<#C76TQUQ2D|ddi-contrib-team> is a DD&I initiative aimed at increasing contribution from under-represented and marginalized individuals in the Drupal community. They’re working on new models of mentorship & support around contribution. And they would like to host a virtual sprint day!

Sign up and pick times that work for you:

amyjune I was able to re-tweet DD&I tweets regarding this through Hook 42 and BADcamp media channels (And more are scheduled)
sparklingrobots Thank you @amyjune! I was just going to say that we could use help getting the word out. :slightly_smiling_face:
mdrummond Thanks so much for all the work organizing this! I think this is very groovy.
amyjune yes - i think some re-tweets are going out this weekend and after the 4th
sugaroverflow After the 4th is a good idea!
rubyji I bet a lot more people will be interested once a date is chosen.
ekl1773 The next contrib team meeting is this coming Monday, so will discuss in more depth then? There are 28 replies right now! which I still need to go through in more detail and pluck out some potential dates/times.
Wondering if a separate planning meeting or additional contrib team meeting might be helpful to keep it rolling.
Also have a potential sponsor in the wings, could probably get them as mentors as well…
sparklingrobots Oooh a sponsor!
ekl1773 Tentative because I wanted to be more certain of The Plan and get Approval before really having the conversation about how that would work.
sparklingrobots Yeah, totally, but still exciting! I hadn't even considered.
sparklingrobots If you want to have a separate meeting, we could always just the Monday meeting to announce a time
sparklingrobots (rather than the previous plan of using Monday meeting to discuss)
ekl1773 Could do both in this coming meeting and split off after?
sparklingrobots Sounds good!
ekl1773 @amyjune your :taco: s today are just … really making me hungry :yum:
mdrummond Dangit now I want tacos
ekl1773 We could have a virtual taco hour…
mdrummond If only there were taco trucks on every corner
amyjune Another group I am a part of has a "virtual happy hour" where we meet up on Zoom for about an hour once or twice a month - Super good for getting to know remote peeps
mdrummond Okay I’m liking the idea of virtual taco hour. When and how do we make this happen. Can I get tacos delivered to my house. This bears investigation.
mdrummond Okay technically there’s a good place that can deliver tacos, but it’s an hour. I am not getting Taco Bell delivery. (Don’t tell but I like Dorito Locos Tacos.)
mdrummond Thankfully my secret is safe with you all and… anyone who reads this transcript.
alexdmccabe What sort of things would a sponsor bring to the virtual sprint day? I don't think I understand what there is to sponsor. Are there costs associated?
ekl1773 That was definitely one of my questions! Possibly $ponsored time for mentors, donated hours on company time from the sponsor, donated software licenses, follow-up training, purchase and shipping of lunch for everyone from amazonfood…
alexdmccabe All great ideas!
amyjune I don't remember if I had mentioned this before, but my team can provide a paid zoom room for the virtual sprint (paid account has no time limit)

2️⃣ The DDI contrib team is having a full group meeting on July 2 at 10 am PT in the <#C76TQUQ2D|ddi-contrib-team> channel. Agenda:

If you’re interested in getting involved with contributing to Drupal, this is a great chance to get involved. If you’re already involved, make sure to join so we can get your feedback on how things are going! We have a lot of topics to discuss on the agenda, hope to see folks there!

mdrummond I’m particularly excited about the discussions about helping people to take on roles as maintainers!
sugaroverflow me too! :point_up::skin-tone-3:
amyjune Thanks for the reminder.

3️⃣ Handbook
We’ve collaborated to put together the first draft of our DD&I handbook (and processes) document. This will be a living document that covers our leadership team, how initiatives will be run, what a contributor journey for DD&I looks like.

Please take a look and leave comments or suggestions. If you see something missing or have ideas, let’s discuss here.

We are specifically looking for feedback on how we should maintain the handbook. Time for an emoji vote!

In a repo with PRs? :git:
d.o. documentation page? :drupalparrot:

Fine to vote for both!

dmkelner My concern with the repo is that us non-developers have no clue.
amyjune Its pretty easy , and it gives an opportunity to learn!
sparklingrobots If we want to do the repos/PR, I feel like we should provide some training resources on how to use it so that people *can* learn
mdrummond If there’s a repo, maybe find a way for people to file an issue for the change they’d like to see happen? Then make sure we try to get people to do the actual PR for those issues? That might help lower the bar.
dmkelner Don't mean to be rude, but I have enough in my own field to learn.
mdrummond Is the concern with d.o. that there is less ability to track changes that way?

4️⃣ DrupalGovCon table
DrupalGovCon is happening on August 22-24 in Bethesda, MD.

The organizers have offered DD&I a free table this year and we’ve also got a session accepted. There’s a group of wonderful volunteers who are going to power this effort.

Planning is happening in this google doc: . If you’ll be at GovCon and would like to volunteer, please  or discuss.

dmkelner If you are not already listed as a volunteer, please either respond here or add your name in the doc.
rubyji I have to admit I am still not 100% sure about attending, but if I don’t I will still come and do the presentation with @dmkelner.

It sounds like I have to chose between this and BADcamp, budget-wise. :grimacing: But since GovCon is free I might just come up from NC for one or two days on my own dime.

mdrummond Hope this goes great! I have a family event that week or it would definitely be on my agenda. Hopefully next year!
rubyji I think saw that we are on the schedule now.
dmkelner Our session is 10am Thursday
dmkelner We should also brainstorm on ideas for bofs. Even if it is simply a follow up discussion to our session.
rubyji Good idea!
mdrummond Maybe BOFs like the affinity group BOFs at DrupalCon Nashville could be helpful?
kara Will certainly be there, tabling will be my default activity, just need to see their talk schedule to say when i can not be there
kara Can also do stuff if we need to do any prep beforehand as i will be off all week
dmkelner @mdrummond not familiar with that. Can you please document your thoughts in the govcon doc? I added a bullet for bofs.
mdrummond @dmkelner Added some examples and links
kara We would be scheduled opposite a 508 talk :)
unitoch I've been pretty quiet here the last few weeks as I've been embroiled in a cross-country move, but I'm planning to do some work on the presentation next week.
unitoch I'm planning to take the framework we laid out in the session proposal and start converting it into some kind of outline. Thoughts? Agree/disagree?
unitoch alternatively I could start putting it straight into slides if that seems easier
unitoch I definitely want to do as much as I can to be helpful here without getting in your way or creating a presentation that doesn't feel natural to you two @dmkelner and @rubyji
rubyji Oh, cool! Can you start some Google Slides, @unitoch? When we can all jump in. Or is that premature?
unitoch Sure, I'll create something super basic right now
dmkelner Let's not worry about slides. PowerPoint is totally my strength. I think an outline world be excellent. Concepts first. Then communications.
unitoch Outline it is. We can transfer that to some slides later.
unitoch Since we're doing outline, let's just use the same doc as we were using for the proposal:
unitoch Okay, there's a very small start to an outline there now. I'll flesh it out more next week, but if anybody feels inspired, go to town
deanvalentine Hi All, I am still interesting in volunteering. I wasn't in this meeting as I was putting out a fire.

5️⃣ Drupal Europe DD&I table
Drupal Europe takes place on September 10-14 in Darmstadt, Germany. The organizers would love to provide a table in the exhibition area to DD&I as well as any other support :ddi:

If you’re attending Drupal Europe and can volunteer for this, please emoji with :rainbow-sheep: . Let’s discuss what we’ll need to power this effort!

P.S: their session submissions are still open! and we have <#C3G1G53CN|ddi-session-help> if you’d like some help in planning your session or feedback on an existing session.

P.P.S. If you have ideas for BOFs (birds of a feather chats on certain topics), let discuss those in the thread tooooo.

mdrummond BOF idea and other Drupal Europe thoughts threaddddd!
gaborhojtsy A session submission on DDI itself is also welcome!
sparklingrobots Is there someone who could give the session we proposed at GovCon?
ekl1773 I’m intending on submitting a couple sessions by the end of tomorrow. One somehow on mentoring, could include DDI contrib and the virtual day if all goes well…
sparklingrobots @ekl1773 if you need help on the submissions, lemme know
rubyji I feel like Europe could really use a talk about power dynamics and privilege.
ekl1773 Thank you @sparklingrobots! I *could* try for the govcon preso, and I’ll have seen it in action by then…
ekl1773 But I think there are other voices who’d be really phenomenal to have on that.
rubyji Yes, @dmkelner. The presentation we do at GovCon could certainly be adapted for Europe.
rubyji Which reminds me, that’s on my to do list to start working on…
ekl1773 Ok so action item to submit the govcon session to Drupal Europe? Submissions end Saturday. @rubyji should we coordinate? I’m the only bouncing sheep. Perhaps more folks can join on to the preso later.
rubyji I am not willing to attend Drupal Europe but I’m glad to share the presentation with someone who can lead it. It would be great if one of our leadership team members could co-present.
sparklingrobots @ekl1773 You can put my name down. I don't know if I'll be able to attend but should have more information next week, and if I'm not able to, hopefully we can find someone else to help.
rubyji You can definitely borrow from our proposal to GovCon:
ekl1773 Whee! thanks everyone :slightly_smiling_face:
gaborhojtsy Yay!
rubyji Also @unitoch has been helping a lot with the proposal and presentation so keep him in the loop.
eatings i'm 75% sure i will be at DE, though for only part of it. i'm happy to support in any way needed

6️⃣ Personal check-ins
How’s everyone doing today?

:no_entry_sign:

7️⃣ Celebrations
I wanted to take a moment to celebrate a bunch of things :tada:
➤ GovCon organizers providing us DD&I table :tada:

➤ the volunteers who put together a session for GovCon and are planning to volunteer or help with the table: @dmkelner, @unitoch, @tim_nafziger, @rubyji, @kara, @nine.lives.black.cat, @deanvalentine, @ekl1773, @littlekope0903, @ashrafabed.

➤ this awesome issue that puts a meeting component on core issues

➤ @drnikki for running for the DA board  Check out her candidate profile here:

drnikki Yay for celebrations of all kinds!
drnikki It’s a tough news cycle for some of us in the US so happy for good news.
dmkelner Amen to that

8️⃣ :ddi: :star: reminder – The transcript of this meeting will be exported and posted to the agenda issue. Since this is new, we thought a reminder would be helpful - you can still go back and edit your comments if you’d like:
➤ For anonymous comments, start with a :bust_in_silhouette: emoji. :bust_in_silhouette:
➤ For off the record comments or threads, start with a :no_entry_sign: emoji. :no-entry-sign

9️⃣ :ddi: :ddi: :ddi:
Official meeting is over, but the conversations will continue. Thank you for showing up and contributing to make this community a better space.

➤ To send feedback about DD&I, the leadership team, anything really (even anonymous love letters wink):
➤ And the work continues over at:
➤Agenda for next week: Feel free to add to it!

rubyji I think this might be the wrong agenda link?

Thank you, @mdrummond! :ddi:

There, wrote a quick draft of my schedule that week leaving at least 2 hrs a day where i was not in drupalgovcon sessions

@rubyji Glad to help! Thanks all!

How does everyone feel about keeping the “Personal Check-ins” part of the agenda _always_ off the record ?

sugaroverflow @alexdmccabe inspired this by posting his update with :no_entry_sign: and it made me realize maybe all of those updates should always be off the transcript?
sugaroverflow Meeting leads can easily do that by adding that to the script for the thread.
rubyji Oh, that’s a good idea. I hadn’t thought about that.
ashrafabed that makes sense
ekl1773 +1 from me
alannaburke I like that, keeps it a nice safe space
alannaburke and there’s no need to keep a record of it anyway
mdrummond Makes total sense
sugaroverflow sounds like a consensus, thanks everyone! we’ll start adding that to the script so that thread stays off the transcript :slightly_smiling_face:
mdrummond There’s a lot of personal stuff in the initial agenda item too, but that shows who’s here.
alexdmccabe I don't know how the script works, but could it parse that section for names without storing it permanently?
mdrummond If that’s possible that might be nice.
nine.lives.black.cat Thank you very much!

:skin-tone-3: sounds like a consensus, we’ll start taking that off the record until someone feels strongly otherwise and wants to discuss.

Thank you for being a part of the learning process around meeting transcripts. If you ever have other concerns, please reach out, or anonymously: .
