This guide walks Company Admins through setting up their organization on the IXP platform and managing their team members.
Step 1: Company Admin Registration
The first person from your organization must register as a Company Admin to create your company group on the platform.
Registration Process
- Go to https://drupal-ixp.site/user/register

- Fill out the basic registration form with your personal information
- In the "Role" field, select "Company Admin"
- When you select Company Admin, the "Company Name" field will appear
- Enter your organization's name in the Company Name field
- Check the Terms of Service acceptance checkbox
- Complete the registration form and submit

Important Notes
- Only select "Company Admin" if you will manage your organization's IXP participation
- The Company Name you enter will create your organization's group on the platform
- Choose a clear, professional company name as this will be visible to reviewers
- You must accept the Terms of Service to complete registration
Step 2: Manual Approval Process
After registration, your account will need manual approval by the IXP team.
Approval Process
- Your account will be automatically flagged for manual review by the IXP team
- You will receive email notification when your account is approved
- This process typically takes 1-3 business days
- Until approved, you cannot access the full platform functionality
While Waiting for Approval
- You can have your team members register (they will also need approval)
- Review the IXP Initiative requirements and prepare your mentorship plan
- Join the #ixp-fellowship Slack channel for community support
Step 3: Team Member Registration
Have your team members register independently with appropriate roles. They will register separately and be approved before you can add them to your company group.
Role Types
Company Member (Mentors)
- Anyone who can see engagements and reports
- Typically assigned to mentors who will work directly with IXP developers
- Can create and manage engagements
- Can submit progress and final reports
IXP User (Developers)
- Inexperienced developers seeking practical experience
- Can submit their own progress and final reports
- Limited permissions within the group
Registration Instructions for Team Members
- Send team members to https://drupal-ixp.site/user/register
- Have them select the appropriate role (Company Member or IXP User)
- The Company Name field will not be visible to them (only Company Admins see this field)
- They must check the Terms of Service checkbox
- They will also need manual approval
- Wait for approval notification before proceeding to group management

Step 4: Adding Team Members to Your Company Group
Once team members are approved, you can search for them and add them to your company group.
Accessing Group Management
- Log into the IXP platform
- Click "My Company" in the top navigation
- Click on your company name (e.g., "Company IXP")
- Click the "Members" tab
- Click the "Add member" button

Adding Members Process
- In the "User" field, search for your team member by name or username
- Select the correct user from the search results
- Avoid giving more users the Admin role
- Click "Save" to add them to your company group
- Repeat for each team member

Group Roles and Permissions
- Company Admin: Full group management, can add/remove members, access all company functions
- Regular Member: Can access company content, participate in engagements, cannot manage group membership
Viewing Current Members
The Members tab shows a table with all group members including:
- Real Name
- Roles within the group
- Date joined and last updated
- Operations menu for managing individual members

Company Dashboard Functions
Once your company setup is complete, you'll have access to key functions through your company dashboard:
Company Content Creation Links
- "Add a member or IXP user": Alternative way to add members to your group
- "Request a coupon for job @ drupal.org": Start the job posting process (Option A)
- "Create an engagement": Begin a mentorship engagement
- "Create a progress report": Submit bi-weekly progress updates
- "Create a final report": Complete engagement documentation

Common Issues and Troubleshooting
Registration Problems
- Company Name field not appearing: Make sure you selected "Company Admin" role first
- Account not approved: Check spam folder for approval emails, allow 1-3 business days
- Can't find team members to add: Ensure they have completed registration and been approved first
Group Management Issues
- User not found in search: Verify they registered with correct information and are approved
- Can't access Members tab: Ensure you have Company Admin role and are logged in
- Added member can't see company content: Check their role assignment within the group
