switzernKing Center contract update
- This year's reservation is in the process of being cancelled
- We'll use the money toward next year's reservation
Sponsorship updates; review ideas from brainstorm spreadsheet for sponsor benefits
- Everyone will add thoughts around sponsor benefits at a virtual camp to the spreadsheet for discussion in next week's meeting
- https://docs.google.com/spreadsheets/d/1Bccja9voQ_VLZWPBAZrmYtbgQfyYY-yZ...
Session format; need to figure this out ASAP so we can open session submission
- Need to find a way to make these a lot more interactive than they normally would be
- The way Drupalcon is doing recorded sessions with conversations with presenters is interesting
- Is there a way we can make it competitive? Can we have attendees collect something they win a raffle prize for at the end of the camp?
- We'll consider only doing sessions for half days on all three days
- We need to have fewer overlapping sessions
- Session formats we'll do: Panel discussion, recorded session with live component, live presentation
- Recorded sessions we would need at least a week before the event
- Open lightning talk channel?
- What can we do to support BoFs?
- Workshops could be another format
- Open session submission with general ideas and suggestions, but give presenters to submit their own ideas - format this as "other"
Summit updates; discuss format for fully virtual summits
- Chris and the summit organizers will think about what they want out of this format in the coming weeks and will talk about it next week.
Training updates; confirm that all trainers are on board for fully virtual trainings
- We'll discuss training formats in a future meeting
Website updates; review website updates for virtual camp
- Copy updates are on staging, blog post is out for review. Nick will make updates by EOD 6/2.
Marketing and social updates
- Social media will be picking back up now that we have a decision on camp format and we need to promote the virtual camp
- T-shirts are pretty much ready to go
- Need to update weekly drop teasers
- Phil will connect with Chris about updating our podcast teasers for the fully virtual camp
Virtual camp platform
- We'll use Zoom
- If we have the pro version for two months, it'll give us plenty of time to experiment
Nonprofit discussion
- Matthew is in favor despite it being a fair bit of work and require some commitment
- Pro: we have much more control over our finances
- Pro: marketing benefits (we could also get some of these if we just did an LLC)
- Potentially tough to fill out a formation board and have enough people to continue
- Want to make sure we have people fully committed and doing a good job with both camp organization and 501c3 organization
- We can hire a company to take care of the paperwork for us
- If we are going to move forward, put out a call to the community to give them a heads up on what we're doing and offer the opportunity for others to participate
- We won't do this until after this year's camp
- We'll plan to put 501c3 planning on hold until after this year's camp
