Meeting will happen in #contribution-events on drupal.slack.com.

Hello and welcome to this asynchronous, biweekly Slack meeting for the Contribution Events Initiative!

This meeting:
➤ Is for Drupal community members interested in how to better organize, promote, and improve contribution events. We discuss upcoming events, lessons learned from past events, ideas for increasing event participation, how to improve documentation, and more.
➤ Happens every two weeks in alternating timezones: 5pm UTC Mondays (starting 23 May 2022) and 5am UTC Tuesdays (starting 6 June 2022).
➤ Is done over chat.
➤ Is actively facilitated for 1 hour, but is open asynchronously for 24 hours from the meeting start time.
➤ Happens in threads, which you can follow to be notified of new replies even if you don’t comment in the thread. You may also join the meeting later and participate asynchronously!
➤ Transcript will be exported and posted to a project issue for this meeting. For anonymous comments, start with a :bust_in_silhouette: emoji. To take a comment or thread off the record, start with a :no_entry_sign: emoji.

:zero: Who is here today? Comment in the thread to introduce yourself and let us know [insert social question, e.g. if you have any interesting plans for the weekend, what is a recent book/movie/series you enjoyed, what is a new song you like, have any fun vacation plans].
:one: Do you have suggested topics you are looking to discuss? Post in this thread and we’ll open separate threads for them as appropriate. Please use the additional threads for discussion.
:two: Are there any contribution events coming up that you know about? Regular events?
:three: Did you participate in a contribution event recently? Feedback?
:four: Are you looking for a contribution event to help as an organizer, mentor, or participant?
:five: Do you have any resources or documentation suggestions? Do you have suggestions for where to look for existing documentation (even outside of Drupal)?

[add additional topic threads here]

:last: Thank you for attending! Please add any suggestions for improving the meeting agenda or structure of this meeting in this thread.
  • For #1, don't copy/paste the topics exactly unless they are clear and short enough. Otherwise, summarize the information so it's easy to understand. Then start each of those topic threads with the first item acknowledging the person who suggested the topic, e.g. [@ name] raised this. This is preferred over adding it in the topic to keep the main channel cleaner.

  • For #2, add this for first item in the thread:

In addition to adding events here, use this issue to add new events and encourage organizers to add these to the Community Events list as well: https://www.drupal.org/project/contribution_events/issues/3281974

  • For #3, add this for first item in the thread:

In addition to adding feedback here, use this issue or create a child issue to add any contribution event feedback:
    https://www.drupal.org/project/contribution_events/issues/3282885

  • For #4, add this for first item in the thread:

In addition to adding your interest here, use this issue to signify your willingness to help at contribution events: https://www.drupal.org/community-initiatives/contribution-events-initiat...

  • For #5, add these for first items in the thread:

In addition to adding your resources here, use this issue to note any resources and documentation that might be helpful for contribution events or places we could look (even outside of Drupal): https://www.drupal.org/project/contribution_events/issues/3280005

  • After #5, review the open project issues to see if there are any topics that should be added for this particular meeting and open numbered threads as appropriate.

0️⃣ Who is here today? Comment in the thread to introduce yourself and let us know what's your favorite holiday (not expecting much US participation tonight due to the hour and it's July 4th holiday here) (edited)

Kristen Pol (she/her) Review of initiative goals:heavy_check_mark:1
gusaus I think the topics already mentioned are potential solutions to the larger issue of keeping this (or any community driven project or initiative) active 'without' relying on the availability (or lack thereof) of one or two maintainers or organizers.:heavy_check_mark:1
Kristen Pol (she/her) True... if we had different "owners" for for the different areas then that would help and the funding certainly would be a way to drive contribution here:heavy_plus_sign:1:heavy_check_mark:1
gusaus Considering we're looking for ways to join forces with #event-organizers (now over 400 channel members)... seems like there's potential to join forces on some of their initiatives.  If you look at how they structure (the Event Platform for example) there are already some similarities to what we're talking about here... in terms of having different teams and owner for sub-projects/initiatives.Drupal.orgInitiativesEOWG has identified three inaugural initiatives: Drupal Events Information, Drupal Event Platform, and Onboarding to the Drupal Community at Events.Feb 26th, 2021 (39 kB)https://www.drupal.org/node/3200470Drupal.orgDrupal Event PlatformPurpose The event website is one of the most important and laborious tasks associated with producing a quality Drupal event. For some events, the website is the main application that helps organize and build the entire experience from collecting session submissions to assigning presentations to the schedule. The Drupal Event Platform (DEP) committee within the Drupal Event Organizers Working Group (EOWG) is looking to reduce the time and resources it takes to create an event website site through the creation of a flexible and customizable website starter kit for event organizers.Mar 2nd, 2021https://www.drupal.org/node/3201091:heavy_check_mark:1
Kristen Pol (she/her) Oh! Sorry, I didn't realise this was in the topics thread... needs to be split out into its own... will do now:heavy_check_mark:1

2️⃣ Are there any contribution events coming up that you know about? Regular events?

Kristen Pol (she/her) In addition to adding events here, use this issue to add new events and encourage organizers to add these to the Community Events list as well: [#3281974]Drupal.org2022 Drupal contribution eventsProblem/Motivation Right now it's not easy to find upcoming contribution events so use this as a temporary place to document them until we have good documentation in place for advertising these.May 24th

3️⃣ Did you participate in a contribution event recently? Feedback?

Kristen Pol (she/her) Design4Drupal Boston was Friday June 24th and had a contribution event so it would be interesting to hear from @leslieg on that... at a suitable hour :slightly_smiling_face: (edited)
leslieg The contribution event at Design4Drupal Boston went really well. We had folks from across the United States participating. Two folks made their first contributions and others made their first contributions to the Project Browser initiative. The issues we were working on were well-suited for first timers as they were new issues and did not have a long trail of comments to go through. Folks proposed short non-technical descriptions for Drupal modules, proposed best categories for modules and created or reviewed logos for modules.:tada:1
leslieg If anyone has a contribution event coming up, I would be happy to either join to work on these type of issues or show someone what is needed.:tada:1
Kristen Pol (she/her) Glad it went well, thanks for the update :+1:
gusaus Yes if we consider these types of online meetings as contribution events :joy:
Kristen Pol (she/her) True! It is contribution...  very meta :slightly_smiling_face: (edited)

4️⃣ Are you looking for a contribution event to help as an organizer, mentor, or participant? Or want to add contribution activities to an event you are organizing?

6️⃣ Open Collective status (or lack thereof)

Kristen Pol (she/her) I've been meaning to focus some time on funding/OC but everything else seems to be getting in the way
Kristen Pol (she/her) Note I was thinking if we set it up then it would be good to do something generic like "Drupal Contribution" rather than "Drupal Contribution Events" so that this can be a more general fund related to contribution:heavy_plus_sign:1
Kristen Pol (she/her) My new target is to look at this tomorrow for a few hours... it's been on my "short list" for weeks
seantwalsh @Kristen Pol (she/her) the NJ camp recently joined OC under the Open Collective Foundation as our fiscal host. Happy to provide any help with this. It’s pretty straightforward to set up and apply.:+1:1
Kristen Pol (she/her) Thanks
gusaus Note I was thinking if we set it up then it would be good to do something generic like "Drupal Contribution" rather than "Drupal Contribution Events" so that this can be a more general fund related to contributionUsually the collective name is the same as the project or initiative (if possible).Seems like there's consideration (and potential opportunity) to occupy the 'Drupal contribution' namespace for both the initiative and website. Is that right?
Kristen Pol (she/her) Right, I guess we could consider rebranding to a bigger focus but I'd need to wrap my head around what that would actually mean
gusaus Cool that there are other folks in this discussion able to advocate for  Open Collective Foundation as a host (fiscal sponsor) for this type of collective.Difference between a collective for events (which I think is how OC most widely used around Drupal circles) and one for ongoing initiatives is there are whole bunch of benefits (like potential for full time jobs for organizers) and services that OCF can provide to sustain the latter.opencollective.foundationOpen Collective FoundationOC Foundation offers nonprofit status + fundraising + money management software to aligned groups. gusaus Apologies for threading the threads, but I think this is related https://drupal.slack.com/archives/C03FH8GTB1A/p1657056146825769?thread_t... gusaus Considering there's already overlap with what Drupal Association does it would make sense to involve @hestenet (he/him) and/or other DA folks with this part of the evaluation/discussion.Drupal.orgWhat we doThe Drupal Association runs a variety of programs and initiatives aimed at supporting the Drupal software project, the community and its growth. The two main focuses of the Association are Drupal.org - the online home of the Drupal community, and DrupalCon - an annual international conference. We also run Drupal Jobs, a portal for job seekers and employers, and Promote Drupal which brings together marketers, agencies, and evangelists to create and disseminate open source materials that help grow Drupal adoption.Jan 20th, 2017Kristen Pol (she/her)Right, I guess we could consider rebranding to a bigger focus but I'd need to wrap my head around what that would actually meanFrom a thread in contribution-events | Jul 6th | View reply
hestenet (he/him) Drupal Contribution seems fine to me as far as a current sense of 'brand':raised_hands:2
hestenet (he/him) The big picture is good, but also good to put one foot in front of the other and focus on shor tterm achievable targets.:100:1
gusaus So would it make sense then to rename/rebrand as 'Drupal contribution initiative'?
gusaus or Drupal contributions initiative? whatever is deemed as the proper naming
hestenet (he/him) I would say Kristen's initiative is still focused on contribution events - but that when we're looking at setting up bits of infra that could be used for a wider purpose, it doesn't hurt to name them more broadly and make them more easy to re-use:point_up:1
hestenet (he/him) .Don't need duplicates later.
gusaus Obviously it's difficult to track all these conversations (parsing them into issues and blog posts could be a great way for newcomers to become involved  ) but I think @Kristen Pol (she/her) is considering the larger scope (especially if it doesn't deter from being able to enable/promote/sustain contribution events).
hestenet (he/him) Really up to her:heavy_plus_sign:1
Kristen Pol (she/her) Thanks for the input
Kristen Pol (she/her) I'm wondering if "Drupal Contribution" or "Drupal Contributions" resonates better with people... maybe for a collective, the plural would make more sense though I tend to gravitate toward the singular myself
Kristen Pol (she/her) @hestenet (he/him) What is this one for? https://opencollective.com/drupal-collectivesopencollective.comDrupal Collectives - Open CollectiveThese are all the Drupal Ecosystem projects on Open Collective (158 kB)https://opencollective.com/drupal-collectives
hestenet (he/him) Uh good question. Must have been made when we were first working with OC team
hestenet (he/him) That one might be reusable
Kristen Pol (she/her) I'm reviewing all the existing collectives and that's the only one that seems "generic"... the rest are DA, events, modules (e.g. webform), and initiatives (e.g. DDI) (edited)
Kristen Pol (she/her) Though doesn't really evoke "Drupal contribution" IMO
Kristen Pol (she/her) @gusaus you mentioned using OCF but I see a number of collectives using OSC... other than the fee difference, do you know anything about the difference? (apologies if this was already covered in a thread)Screen Shot 2022-07-05 at 3.17.46 PM.png
Kristen Pol (she/her) Seems like Open Source Collective is more appropriate
Kristen Pol (she/her) Examples: Drupal Asheville, DDI, and Drupal Utah are using OCF while Webform, Drupal Core Maintainers, and Sydney Drupal User Group use OSC. Some others have their own collective (e.g. DA, Drupal Austria) or others use something else entirely.
seantwalsh OCF is non profit, not sure about osc. Drupal NJ had to be a non profit because we came from the Drupal Assoc then Software Freedom Conservancy. If the funds will be used to pay for contrib events or specific efforts OSC seems like a good fit. Really a matter of weighing needs and what host would be best.
Kristen Pol (she/her) OSC is a non profit as well
Kristen Pol (she/her) The funds would be 1) to pay for this initiative to get more people involved, 2) help fund events, and then 3) figure out how else funds would be useful in the contribution space
seantwalsh Ah missed that bit in the screenshot
Kristen Pol (she/her) Even though the host fee is higher, I think OSC is the one we should do, but we need to decide on singular vs plural now (Drupal Contribution vs Drupal Contributions) because we won't be able to change that later in the "machine name" :slightly_smiling_face:
gusaus I’ll chime in once I return from my afternoon walk :walking:
hestenet (he/him) I think I like 'singular' better -- it's kind of a collective noun anyway.:+1:1
hestenet (he/him) But no strong preference
Kristen Pol (she/her) I prefer singular too but I did notice plural used for Twitter hashtags
gusaus What is this one for? https://opencollective.com/drupal-collectivesLooks like that was created back when the Open Collective founders were creating collectives and really trying to serve our community. Granted Open Collective and the community was tiny. The intent was to have that be sort of an umbrella collective (supercollective was the OC term at the time) that could group together all the Drupal collectives and create ways to fund upstream, downstream, and in-between.Since then, OC has shelved that term but provide (better) ways to group and x-fund collectives. One of which is they now offer a wide range of services for groups and initiatives through their nonprofit foundation.Slack | general | Open Collective 2022-07-05 16-46-29.png opencollective.comDrupal Collectives - Open CollectiveThese are all the Drupal Ecosystem projects on Open Collective (158 kB)https://opencollective.com/drupal-collectives

Kristen Pol (she/her) Reading the strategy posts from OCF and OSC, I got the impression that OCF was more mature and robust
Kristen Pol (she/her) Okay, reading the fine print... OCF is a 501(c)(3) and OSC is a 501(c)(6) which are similar but I found this. Kristen Pol (she/her) Hasn't been much activity
Kristen Pol (she/her) We might need to just pick the first date and then ping possible mentors/organizers:+1:1
surabhi.gokte I think in the last meeting we also talked that there was an update to be done after which we can plan for porting day. Is that done?
Kristen Pol (she/her) I got confirmation that we should just have one "as soon as possible" because there are plenty that can be worked on already
Kristen Pol (she/her) That said, if there are projects with tests then we need to be careful because if they are not opting into CI deprecation checking then there may be tests that are failing due to deprecations

surabhi.gokte Cool, should we plan mid July or end?

Kristen Pol (she/her) My bday is 20 July so don't want it too close to that
surabhi.gokte Oh, absolutely! We will do after that :slightly_smiling_face:
surabhi.gokte Last week July should work for us
Kristen Pol (she/her) @surabhi.gokte any particular day good?
surabhi.gokte There is always a debate b/w weekday or weekend. I think we can keep it open for Fri and Sat both --thinking out loud!
Kristen Pol (she/her) If we do US Thursday then that's Australia Friday which might allow for people to get some sponsored work time... I'd prefer not to do the weekend since we should really try to encourage employers to make time for their employees within the work week IMO
surabhi.gokte That’s true. But i think that is critical point.I am totally okay with weekday Thurs-Fri —28/29 July looks good?
Kristen Pol (she/her) We could do the first one as a single 24 hour porting day to see how it goes and document everything and then perhaps do a longer one for another round later:+1:1

Kristen Pol (she/her) I was thinking Open Social is the site we used when running events whereas we might be better served by a different structure for promotion and marketing. I am planning on playing around with both in a sandbox environment
Kristen Pol (she/her) Ideally I could get an export of https://drupalcontributions.opensocial.site/ to play withdrupalcontributions.opensocial.siteWelcome to the Drupal Contribution Platform | DrupalCon Contribution PlatformWelcome to the Drupal Contribution Platform! Kristen Pol (she/her) I have bought a few possible domains in any case:drupalcontribution.com (and org and net and site)drupalcontributions.com (and net and site)Note: drupalcontributions.org is being used by Drop Solid though seems inactive (edited)
Kristen Pol (she/her) There was a discussion of having something like this at contribution.drupal.org but this isn't viable in the short term so I suggest we set up something with a custom domain and develop a proof of concept to see how these might benefit the community. The goal isn't to take away from any existing drupal.org content but rather augment and work iteratively... with the possibility of rolling things back into drupal.org as it makes sense
Kristen Pol (she/her) Mike Herchel gave me a copy of the Florida Drupal Camp site play with since that's beautifully themed
Kristen Pol (she/her) Also, a general site could be more than just events... i.e. pointing off to documentation/resources, perhaps taking the place of what the initiative guide was planning on being... not sure... I think we just have to prototype some things to see what makes sense
Kristen Pol (she/her) @markconroy also provided some code to look at: https://twitter.com/markconroy/status/1542874778821877762?s=20&t=S87pc24... shaal I found the current open-social for Drupal contributions very confusing (between signing-up and finding where you need to go). Also, could be interesting to utilize https://vdo.ninja, because it allows people to connect video/screen share directly between each other without a streaming server in the middle.vdo.ninjaVDO.NinjaBring live video from your smartphone, computer, or friends directly into Studio. 100% free. shaal (of course, I’ll be happy to work on how the new/future version of that look like)
Kristen Pol (she/her) I watched a demo of https://vdo.ninja and it looked very cool vdo.ninjaVDO.NinjaBring live video from your smartphone, computer, or friends directly into Studio. 100% free. (306 kB)https://vdo.ninja/
gusaus I think we were making a pretty good case for extending the current Open Social instance in the latter part of this discussion. To @shaal's point and others who found the current setup incomplete or confusing... it might help to look though their marketing site @ https://www.getopensocial.com/ to get a better sense for the features, uses cases, case studies, etc,Also keep in mind it's also a freely available, extendable distribution built on Drupal 9.We've yet to update this issue to reflect some of the recent convo in these threads, but I think we could make a pretty good case for migrating (from the current SaaS) to a self hosted (sponsored) environment like Pantheon.gusaus@Kristen Pol (she/her) Following up on #3293202: META: Create website for organizing contribution events as @ronaldtebrake is already in this conversation...Create a drupalcontribution.com type website where mentored events can be proposed.Seems to me like https://drupalcontributions.opensocial.site/ is already set up to accommodate what you describe.Show moreFrom a thread in contribution-events | Jun 29th | View replyOpen SocialCommunity Engagement Platform Software - Start Your Online Community - Get A 1:1 DemoEmpower sharing in your organization! 9️⃣ Special tag for contribution event issues

Kristen Pol (she/her) raised by @surabhi.gokte
Kristen Pol (she/her) I'm hesitant on adding a special tag for this group because 1) I'm not sure how this would be used, 2) events often have their own special tags, and 3) people often use tags incorrectly (e.g. spaces vs no spaces, adding extra words, etc) (edited)
Kristen Pol (she/her) @surabhi.gokte How do you see this being used?
surabhi.gokte I am also skeptical with the idea of using tags but sometimes they come handy. If we conduct Sprints we will have all info at one place via the tag we use, and we can even use it for Promotions. And unlike special tags for events, this could be more generic that can be used everytime we conduct a Sprint within this initiative.
Kristen Pol (she/her) Right, but I think if we help organize an event then we'd just use a tag for that event... like the porting stuff... we had special tags for the 2 porting events in 2020 as far as I remember
surabhi.gokte Yup, we did. Sure that way is also good
leslieg I agree with using the event tags:+1:2

🔟 Initiative goals ready for review

Kristen Pol (she/her) Issue: #3279806: Determine goals for the Contribution Events community project#comment-14594315Drupal.orgDetermine goals for the Contribution Events community projectProblem/Motivation This project needs to have concrete goals to be successful. Some have been added to the project page already and pasted below but these should be reviewed and updated/augmented as needed. Ideally, very specific goals can be created such as increasing the number of contribution events by x% by y date in order to better measure success.May 11th
gusaus Is it safe to say goals may have changed considering the larger scope of the initiative coming out of this discussion and subsequent issue?Kristen Pol (she/her)6️⃣ Open Collective status (or lack thereof)Thread in contribution-events | Jul 5th | View messageDrupal.orgSet up Drupal Contribution collective with Open Collective FoundationProblem/Motivation/Idea We've decided to create a collective on Open Collective. See the parent issue: #3280986: META: Explore connecting Drupal Contribution to Open Collective funding Proposed resolution Apply via Open Collective Foundation and see if they approve it.Jul 6th
gusaus Reconciling the goals with the evolving scope and this bit of discussion, I think we could consolidate goals listed here and here along with sub-projects or initiatives (including EOWG) in this issue. We could then circle back to this issue and see if there are common roles and needs between 'all' related initiatives and projects.Does that kinda make sense?gusausConsidering we're looking for ways to join forces with #event-organizers (now over 400 channel members)... seems like there's potential to join forces on some of their initiatives.  If you look at how they structure (the Event Platform for example) there are already some similarities to what we're talking about here... in terms of having different teams and owner for sub-projects/initiatives.From a thread in contribution-events | Jul 6th | View replyDrupal.orgDetermine goals for the Contribution Events community projectProblem/Motivation This project needs to have concrete goals to be successful. Kristen Pol (she/her) Good point... I won't be able to look at this until tomorrow though
gusaus Seems perfect timing... considering I'm currently involved in similar, way over my head discussions in the WordPress community.
Kristen Pol (she/her) Having some house emergencies so not sure when I'll get to this… we have to relocate due to leaks in ceiling going into light fixtures and smoke detector from A/C
gusaus Oh man - that sucks. Sorry to hear that!:+1:1

1️⃣ 1️⃣ Thank you for attending! Please continue the discussions in the threads and feel free add any suggestions for improving the meeting agenda or structure of this meeting in this thread.

Kristen Pol (she/her) Feedback here :slightly_smiling_face:
Kristen Pol (she/her) There was some discussion that perhaps this isn't the best time given the lack of synchronous participation but I still would like to try this slot a couple more times before considering moving it. As long as we have async participation then it works as designed
