Community Vetting and Review Process Guidelines
Purpose
Camps, conferences, and other community events occasionally request that the Community Working Group’s Conflict Resolution Team (CRT) review the names of potential speakers, organizers, and other leaders, as well as scholarship recipients. The purpose of this vetting process is to ensure that community members who assume public-facing or leadership roles are in good standing with the community.
Process
Request Received
- Event organizers submit the name(s) of potential leaders or speakers to the CRT for review. Please allow one week for review.
- This can be done in a spreadsheet that includes the First and Last name, as well as the Drupal username (if applicable).
Review
- The CRT checks whether the individual has any current restrictions placed by the CWG or other relevant community processes.
- Restrictions may include, for example, loss of community privileges, requirements to avoid certain individuals, or conditions tied to past incidents.
Confidentiality
- To protect privacy, the CRT does not disclose whether any issues exist with the event organizers.
- Instead, if there are restrictions, the CRT communicates directly with the individual in question.
Responsibility of the Individual
- If restrictions apply, the individual is responsible for declining the opportunity (such as a free ticket, speaking slot, or leadership role).
- This ensures that obligations are respected while minimizing unnecessary disclosure.
- If the individual refuses to decline the opportunity, the CRT may impose additional sanctions as appropriate.
Principles
- Privacy First: We protect the confidentiality of all community members.
- Shared Responsibility: The CRT facilitates awareness, but it is up to the individual to take action when restrictions are in place.
- Community Safety: The goal of this process is not punishment, but maintaining a safe and welcoming environment for everyone.
